Manage expenses

The Time & Cost Tracker for Jira Cloud add-on allows you to track all the direct expenses your company has.

There are two types of expenses:

  • one-time

  • recurring.

One time expense

This type of expense will be registered in the system for some particular date.

One-time expenses won’t be automatically repeated.

Recurring expenses

As an add-on user with permission to Expenses, you can add the Recurring expenses to the database.

This type of expense has additional settings:

  • Amount of months it would be repeated. E.g., if 3 is added, the expenses will be repeated every quarter.

  • When to end the recurring.

  • Cycle of occurrences.

If you have an expense for server infrastructure that changes monthly, we suggest creating a recurring expense with an average amount to repeat every month. Then, the exact number will be adjusted on the report level.

What is the Related field in Expenses?

We added the Related field selection to associate every expense to some custom field in your Jira instance.
It can be extremely helpful to track the Jira issue as an activity to achieve some results. Also, you can choose related Jira issue.

For example, Marketing efforts might include your teamwork, paid ads, third-party services, event participation, etc. So, you can link these expenses to the marketing activities your team does and get the cost report representing the total cost of your promo project.

Security note.

If the Expense has been associated with the Project or any other entity with Jira restrictions, it will be visible in the Expense details. Also, such Expenses can be archived or changed by the user without permission to the entity in question.
E.g., The user associated the Expense with a personal Project, so all Time & Cost Tracker users with the proper permissions can see and manage this Expense. This information will help us to provide you with a response faster.
